Real Estate Agent Checklist

  1. Contact information - Please provide our office with your client’s email address, phone number and mailing address within 48 hours of the binding agreement date.  This will assist us in contacting your client and entering the file into our system.

  2. Amendments – Our office will need a copy of all amendments to the contract. Please send all such amendments to the closer working on your file.

  3. Commission – Our office will need a copy of the commission agreement prior to sending out any Closing Disclosures or Settlement Statements. Please send the agreement to the closer working on your file at the start of the closing process.

  4. Payoff information – If your client has a mortgage or mortgages on a property being sold, please have your client immediately order a payoff statement from his or her lender(s).  Please make sure the payoff statement has a “good through date” of seven days after the date of closing.  Please have your client or the client’s lender fax the payoff statement to our office at 912-882-3758 or email it to reception@khfirmga.com.

  5. Termite Letter – If a termite letter is required on the file, please assist your client in obtaining the letter and getting it to our office at least three (3) days prior to closing.

  6. Home Warranties – We will need a copy of the home warranty invoice prior to sending out any Closing Disclosures or Settlement Statements. Please send the invoice to the closer working on your file at least three (3) days prior to closing.

  7. Scheduling of Closings - We are currently scheduling closings upon receipt of the contract. If the time or date of closing does not work for you or your client, please notify us immediately.

  8. Power of Attorney – If your client cannot be present at closing, please let our office know immediately as we will need to arrange for him/her to sign a power of attorney. The power of attorney must be prepared or approved by our office and/or the lender prior to closing.

  9. LLC or corporate documents – If the property is owned by an entity, our office will need to review all relevant organizational documents (e.g. Operating Agreement) prior to closing.

  10. Trust – If the seller is a trust, our office will need to review a copy of the trust documents prior to closing.

  11. Estate paperwork – Is an owner deceased? Please let our office know as soon as possible if an owner of the property is deceased. We will need a copy of the decedent’s death certificate and a copy of all relevant probate documents (Last Will and Testament, Letters Testamentary or Letters of Administration, etc.). Your client may also need to provide a tax identification number for the estate.

  12. Non-Georgia Residents -  If the seller is not a resident of Georgia, state law may require us to withhold a portion of the sales proceeds and remit them to the Georgia Department of Revenue.  If the seller is not a Georgia resident, please review the forms HERE and contact us as soon as possible in order that we may determine if withholding is necessary.

  13. Bankruptcy – If the seller is in bankruptcy, please notify our office immediately.

  14. Mobile Homes – If there is a mobile home on the property, please notify our office immediately.
